Cancellation Policy
Cancelling Your Booking
1. Unsuccessful Application
If we cannot offer you a room at the time of application, we will notify you within 5 working days, and no payment will be required.
2. Lapsed Application
If you receive a room offer but do not accept the terms and conditions online, your application will expire after:
o 5 days during standard periods,
o 3 days during peak selling (July),
o 1 day during results and clearing (August and September).
3. Cancellation During Initial Cancellation Period
If you accept an offer (online or via signed agreement) and later wish to cancel, cancellation is permitted only under these conditions:
o Cancellation must occur within 14 days of booking confirmation (the Initial Cancellation Period). For bookings made between 1st August and 30th September, this period reduces to 7 days.
o The full security deposit (£50–£250) will be refunded, minus £20 for international bank charges if applicable.
4. Cancellation Outside Initial Cancellation Period
If you cancel after the Initial Cancellation Period:
o You remain liable for weekly rent until:
? A replacement tenant (over 18 with valid student status) is found and approved by Unity Livin, or
? The end of any applicable legal notice period.
o You are responsible for finding a replacement tenant and providing them with correct information.
o If the room is re-let, your deposit will be refunded, minus any applicable charges and a £50 administration fee for contract variation.
o If we find a replacement tenant, you will be released from the agreement upon
payment of a £50 administration fee, which may be deducted from your deposit.
5. Cancellation After Key Collection
If you accept an offer, collect keys, and later wish to cancel:
o You must find a replacement tenant (meeting the same criteria) or provide legal notice to quit.
o You are liable for weekly rent until the room is re-let or the notice period ends.
o Upon re-letting, your deposit will be refunded, minus charges and a £50 administration fee (waived if the tenancy ends after a legal notice period).
o You must ensure the room is clean, lettable, and available for viewings.
6. Completion of Tenancy
If you stay for the entire tenancy, your deposit (held by the Deposit Protection Service) will be refunded in full, provided there are no charges or arrears. Note: Deposits cannot be claimed early if you move out before the official end date.
First-Year Undergraduate and Postgraduate Students
If your university offer is withdrawn due to unmet entry grades, you may be released from the agreement. To qualify:
? Provide written evidence from the university within 3 days of results (or by 28th August, whichever is sooner).
? Submit:
o A cancellation request with your full name and property details,
o A rejection letter from the university/UCAS, or proof of acceptance at a new university (via UCAS Adjustment).
Failure to submit documentation within 3 days forfeits your deposit and may leave you liable for rent.
Second-Year and Subsequent Students
? A 14-day cooling-off period (Initial Cancellation Period) begins after accepting the terms.
Written notice is required to cancel.
? After this period, termination is only permitted if:
o A replacement tenant is found, or
o Legal notice to quit is issued.
? Deposits are non-transferable.
International Visa Applicants (Tier 4)
? If your Visa is denied before the tenancy starts, notify us within 7 days of official refusal (and before 30th September for academic year bookings). Provide documentation from UK Visas & Immigration for a full deposit refund.
? If the tenancy has started but keys are uncollected, you will be charged from the start date until evidence is provided.
? If your Visa is revoked after key collection, notify us within 48 hours and provide:
o Official revocation notice,
o University confirmation of release.
? You must vacate but remain liable for rent until a replacement is found or the notice period ends.
Termination After Moving In
Once you move in, the tenancy cannot be terminated early unless:
? A replacement tenant is found, or
? Legal notice to quit is issued.
? You must return keys within 5 working days and confirm contact details.
? Deposits will be refunded (minus charges and a £50 fee) upon re-letting.
Special Conditions
Medical Grounds:
? Termination is permitted if a pre-existing medical condition (declared before the room offer) prevents university attendance. Submit:
o Written request to the Property Manager,
o Medical proof (e.g., doctor’s letter).
? Liability: 4 weeks’ rent or to the end of the current rent period (whichever is longer).
? Undeclared conditions leave you liable for the full term unless a replacement is found.
Sensitive or Exceptional Circumstances:
? Submit a written request with evidence (e.g., medical or university documentation) to the Special Conditions Panel.
? The Panel will review and notify you and your guarantor of the decision within 10 working days (may take longer if Landlord approval is needed). The decision is final.
