Cancellations before 31st May 2023
7 day ‘Cooling Off Period’
You can cancel your booking in writing or by sending an email directly to the Property Team (info@manorvillages.co.uk) within 7 days of accepting your tenancy agreement.
If you decide to cancel your accommodation booking within these 7 days, there will be a £25 cancellation fee and as such £225 of your booking fee will be returned.
After the 7 day ‘Cooling Off Period’
If you decide to cancel your booking after the 7-day cooling off period, the below procedures will apply depending on your circumstances:
Failure to receive grades (first years Undergrad UK students only)
If you secure your accommodation and then for the above reason are no longer able to attend the affiliated University, official written evidence from the University (and/or UCAS/relevant VISA authorities) must be sent directly to the Property Team (info@manorvillages.co.uk) on the day of the results or decision being published. If sufficient evidence is provided, you will be eligible for release from the tenancy agreement and £250 of the booking fee will be refunded.

- Accepted onto a placement
- Any other reason
If you cancel before the 31st May 2023 after the 7 day cooling off period .
Option 1: You are eligible to be released from your tenancy upon request to the Property Team (info@manorvillages.co.uk), however, you will forfeit the £250 booking fee.
Option 2: If you can find a replacement tenant to take over your tenancy then you can receive a refund of your booking fee, minus a £75 fee. The replacement must be a student and match the preferences of the flat (e.g. female only flat). The replacement must sign a contract for the entire length of your tenancy and secure this with payment of the booking fee. Once a replacement is found, signs the contract and pays the booking fee you will be released from your tenancy agreement and we will return £175 of your booking fee.
Cancellations after 31st May 2023 (before tenancy start date)

If you do not wish to live at Manor Villages for the above reasons, you will be required to find a replacement person to take over your tenancy. The replacement person must be a student and match the preferences of the flat (e.g. female only flat). The replacement must sign a contract for the entire length of your tenancy and secure this with payment of the booking fee. Once a replacement is found, signs the contract and pays the booking fee you will be released from your tenancy agreement and we will return your booking fee minus a £75 admin fee for the changeover (£175). If you do not find a replacement tenant and we find one on your behalf then yu will forfeit your deposit in full, however you remain liable for ALL rents due until the point a replacement is found.
Please note that your booking fee will be retained, and you will remain liable for all accommodation fees until a replacement person is found.
Cancellations on or after the tenancy start date:
No ‘Cooling Off Period’
If you wish to cancel after your tenancy has started there is no cooling off period.
Should you wish to cancel, the below procedures will take place depending on your circumstances:
- Illness / Extenuating Circumstances
If you wish to leave the accommodation due to illness or any extenuating circumstances, this will be assessed on a case-by-case basis. The request to cancel must be made in writing or via email (info@manorvillages.co.uk) and any accompanying documentation must also be provided. Until a decision has been made, you will remain liable for all accommodation fees.
If you are granted a tenancy release, your deposit will not be returned to you.
If a tenancy release is not granted, normal cancellation policy applies (see below).

If you do not wish to live at Manor Villages for any other reason, you will be required to find a replacement person to take over your tenancy. The replacement person must be a student and match the preferences of the flat (e.g. female only flat). The replacement must sign a contract for the entire length of your tenancy and secure this with payment of the booking fee. Once a replacement is found, signs the contract and pays the booking fee you will be released from your tenancy and .You will forfeit your deposit and we will retain the full £250 Booking Fee. Please note we will only allow one replacement tenant during the tenancy period,
Upon checkout we will inspect your room and any deductions will be taken from the amount to be returned from any rent paid. Failure to pay the rent on the required dates (Please refer to your tenancy agreement) will result in legal action.
Please note that your booking fee will be retained, and you will remain liable for all accommodation fees until a replacement person is found.

Amendments to the tenancy at any point after signing your documents.
Administration Fee (1,e, change of guarantor details, tenancy lengths, room swaps etc)
Any amendments to tenancy agreements or guarantor documents are subject to a £75 administration fee, to be paid to Manor Villages before the amendment is completed. Please note we do not allow tenancy length amendments after 31st July 2022.
Please note that subletting is illegal, and any replacement tenants MUST have a valid contract with us. If you wish to find a replacement tenant, we will require your confirmation in writing of the new tenant, the new tenants booking form and full booking fee payment prior to us processing any replacement requests. Please note that during the tenancy period only one amendment per tenancy will be allowed.
