Cancellation Policy
Cancellation Policy – 2026/27 Academic Year
Signing a contract is legally binding and means you are financially responsible for all accommodation costs associated with your booking. Once the contract is signed, cancellation is only permitted under the conditions outlined below.
You may be released from your contract if one of the following conditions is met:
1. 3-Day Cooling-Off Period
If you sign your contract on or before 31st July 2026, you may cancel within 72 hours (including weekends) of signing by submitting a cancellation request via your portal account under the “Your Requests” tab. All requests are subject to approval by the Property Manager.
If you request cancellation after 72 hours of signing, or if you sign on or after 1st August 2026 (when the cooling-off period is not applicable), your contract will only be cancelled once a suitable replacement tenant is found.
2. Replacement Tenant
To cancel after the cooling-off period, you must submit a cancellation request and arrange a suitable replacement tenant. The replacement must meet the Property Manager’s approval and the following conditions:
- The replacement tenant must be approved as suitable by the Property Manager
- The new tenant will be charged the rent at the time of their application
- All outstanding rent and any applicable administrative/transfer fees must be cleared
- Any charges identified during room inspection must be paid
- The new tenant must pay all required deposits and outstanding rent
- The new tenant must sign a tenancy agreement for the remaining contract period
- All required documents, including guarantor details (if applicable), must be submitted
If your tenancy has already started and the room has been occupied, a £50 fee will be charged to cover preparation costs for the replacement tenant.
Special Circumstances
In certain situations beyond your control, cancellation may be allowed if all conditions are met:
1. First-Year Guarantee
If you are entering your first year (Foundation or Undergraduate) and do not achieve the required grades, you may cancel your contract by submitting a request within 48 hours of receiving your results, along with valid supporting evidence.
Eligible evidence includes:
- UCAS confirmation or screenshot showing failure to meet required grades
- Official college/university letter confirming the same
If approved, all deposit and rent payments will be refunded in full. This does not apply if you have already completed a foundation year.
2. International Students (Visa Rejection)
If your visa application is denied, you may cancel your contract provided it has not yet started. You must submit a cancellation request before the contract start date along with supporting evidence.
Accepted evidence includes:
- Official visa rejection letter
- University/college confirmation of inability to secure admission
If approved, all deposit and rent payments will be refunded in full.
Additional Notes
- If none of the above conditions are met, you will remain liable for all rent and associated fees.
- If cancellation is approved, any deposit or rent paid will be refunded accordingly.
- If you have already moved in, you will be charged for the duration of your stay until cancellation is processed, along with the £50 replacement preparation fee.

To cancel your contract, you must submit a cancellation request via your portal account under the “Your Requests” tab and arrange a suitable replacement tenant for your room. The replacement must meet the Property Manager’s approval and the following conditions: - The replacement tenant must be approved as suitable by the Property Manager
- The new tenant will be charged the rent at the time of their application
- All outstanding rent and any applicable administrative/transfer fees must be cleared
- Any charges identified during room inspection must be paid
- The new tenant must pay all required deposits and outstanding rent
- The new tenant must sign a tenancy agreement for the remaining fixed term

Frequent Asked Question (FAQ's)
What payments do I need to make when applying?
When applying to live with Dwell, there are no fees to pay. This makes it easier for you to book your perfect dwell room.
When do I pay my tenancy deposit?
Once you have applied, our Sales Team will look through your application, check to find you the best room available and send you a ‘Room Offer’ email. After you have signed your AST (contract), you will be asked to pay a tenancy deposit, so please have your bank card to hand when accepting your Room Offer.
Is my deposit protected?
Once you have paid your tenancy deposit, we have 30 days to protect this under a Tenancy Deposit Scheme. The scheme dwell use is called My Deposits.
What is a guarantor? Do I need one?
If you’re paying ahead for the full year, you don’t need a UK guarantor.
However, if you wish to pay your rent by installments, you will need a UK-based guarantor who is aged 21 or over and in full time employment. They’ll also need to annually earn at least 3 times your total rent amount, or be a homeowner.
Your guarantor must agree to pay the rent should you default on your payment. Providing a guarantor is common practice in the UK and provides us with the security and knowledge that the rent will be paid in full and on time.
If you cannot provide a qualified UK guarantor, you can contact Housing Hand to provide you with the Guarantor Service. Housing Hand specializes in dealing with International Students who cannot provide a Guarantor in the UK.
Can I live with my friends or specify preferences for my flatmates?
Of course! Just state your friend’s names on your application, with them doing the same too. You can also say if you have a preferred gender or year of study for your flatmates. We’ll try our best to meet your preferences but it’s not always guaranteed and is subject to availability.
Can I bring my pet?
You’ll unfortunately have to leave your beloved animals at home – we have a no pet policy across all of our sites.
What is included in my rent?
All inclusive utility bills, Wi-Fi and contents insurance are all included in your rent.
