Cancellation Policy
For 26–27 AY
Cancellation Before Countersigning
If you cancel your booking before the agreement is countersigned, your advance rent payment will be refunded.
Cooling Off Period
If you booked online or by phone and have not viewed the accommodation in person, you have a 72-hour cooling-off period after booking (reduced to 24 hours from 1st August 2026).
During this period, you may cancel your booking provided you have not moved in. To cancel, please email the Residents’ Team with the subject line: “Cooling Off Period Cancellation.”
Refunds will be processed within 10 working days.
Cancellations for Exceptional Circumstances
After the cooling-off period, you may cancel before the tenancy start date only if:
- You are unable to obtain a visa to enter the UK
- You did not receive the required grades to attend your chosen university
- You failed to achieve the grades needed to continue your studies
Please provide supporting evidence (e.g., UCAS notification or visa refusal) to your Residents’ Team within 72 hours of receiving it.
Your advance rent payment will then be refunded.
If you receive this notification after your tenancy start date, you remain responsible for rent payments up to the date you provide evidence and we confirm your release.
No other cancellation requests will be accepted before or during the tenancy.
Finding a Replacement Occupier for your Accommodation
If you wish to end your license to occupy early, you may find a replacement licensee acceptable to the landlord.
The new licensee will sign a new agreement, which may be at a different rent to match the current market rate.
Before we accept a replacement:
- Your rent account must be fully up to date
- Any rent owed up to your leaving date must be paid
Once the replacement licensee has signed and paid, they will assume responsibility for all future rent and obligations.
Until then, you remain responsible for the rent until the original end date.
For 25–26 AY
Cancellations
If the booking is cancelled by the applicant prior to it being countersigned, the advance rent payment will be returned.
Once the booking is countersigned, a 72-hour cooling-off period applies. If circumstances change, the tenant can cancel the booking, provided they have not moved into the property.
From 1st August 2025, the cooling-off period is reduced from 72 to 24 hours after the booking is countersigned.
To cancel the booking during the cooling-off period, please email the Residents’ Team within 72 / 24 hours of being sent the “Lease Agreement Executed” email.
The tenant will then be refunded the advance rent payment. This may take up to 10 working days to reach your account.
Visa Refusal
If an applicant fails to get a visa to enter the UK, they can cancel their tenancy by providing evidence of their failed visa application.
Once we receive this, we will confirm receipt of your request to cancel and refund your full advance rent.
Post Cooling-Off Period
Once the cooling-off period has expired, the tenant can cancel the booking prior to the tenancy start date if:
- You have not acquired the grades to be offered a place at the chosen university
- You have failed to achieve the grades to continue your study at university
In these circumstances, please provide evidence (UCAS notification) to the Residents’ Team within 72 hours of being notified.
Once we receive this, we will confirm receipt of your request to cancel and refund your full advance rent.
Should you not receive notification of these criteria until after the tenancy start date, you will be responsible for all rent payments up to the date you provide confirmation documentation and we confirm your release date.
There are no other circumstances under which we will accept a request for cancellation either before or during the tenancy.
Replacement Tenant
It may be possible to agree an early termination of the tenancy with the landlord if you find someone to take up a new tenancy for the remaining term.
The landlord may amend or vary the terms of the new tenancy agreement, including the rent, to reflect the current market rate.
If you find a replacement, eligibility checks will be conducted.
Before we accept the new tenant:
- Your account and all obligations must be up to date
- Any rent due up to your tenancy ending must be paid
There will also be a charge incurred (please refer to the Fee Schedule).
Once the new tenant has signed the Tenancy Agreement and made the first rent payment, they will take responsibility for all future payments and obligations.
Until this happens, you remain responsible for rent until the original tenancy end date.
Guarantors
All applicants must nominate a guarantor.
The guarantor must:
- Be over 18 years of age
- Not live with the applicant (except parents or guardians)
- Not reside in accommodation managed by us
The guarantor agrees to:
- Cover unpaid rent
- Cover any costs arising from breaches of the tenancy agreement
We may also contact the guarantor in cases of serious antisocial behaviour.
If the tenant falls into arrears or breaches the agreement, the guarantor will be contacted to ensure the issue is resolved.

Frequent Asked Question (FAQ's)
When can I move in?
A few weeks before arrival, you will be invited to book a move-in slot by your Accommodation Team. This can be booked via our student portal once we've let you know check-in slots are available.
What is the cancellation policy?
Book online until the end of 31st July, without seeing the accommodation first, and we run a 72-hour 'Cooling-Off' period, allowing you to cancel your booking within 72 hours of completing the booking. Bookings made from 1st August for the forthcoming academic year have a 24-hour 'Cooling-Off' period. To cancel, write to or email the Accommodation Manager at your chosen location.
Can I choose a certain room?
Absolutely! Floors, flats and room numbers are available to select during the online booking process.
Can we book as a group?
Of course! For locations with shared student apartments, group booking can be completed easily online. One member of the group just needs to register and when asked to 'Create a group booking' , give the group a name and log in. Complete everyone's personal details. When done, the rest of the group have 24 hours to register, select 'Join a group booking' and that's it - your perfect flatshare is secured!
What deposit do I need?
Your Tenancy Deposit is payable 10 days before the start of your Tenancy Agreement. The amount varies across our locations so look at each building individually for details. The good news is that you will get the Tenancy Deposit back if nothing is owing for damages or outstanding rent at the end of your stay.
What do I do if I am not totally satisfied?
We want you to love your time living with us but there may be times when we don't always get it "right". We take all complaints seriously and will try our best to fix any issues first time.
Can I have pets?
Sorry, pets of any shape or size aren't allowed.
