Deposit
When making a booking at The Manager , you will be asked to pay a deposit (or a portion of the deposit if under an incentive/promotion) which converts into your security deposit upon the tenancy start date. By paying the deposit, you agree that it shall be held by Owners in Common until the tenancy start date and acts to secure your room while completing the booking process.
Your tenancy is an Assured Shorthold Tenancy (AST). After the tenancy start date, the deposit will be transferred to one of three Government Approved deposit schemes, details of which will be made available to individual tenants within 14 days of the tenancy start date and also highlighted on The Manager website and tenant app.
By paying a deposit, you give consent for your provided details to be used to undertake a search against sanction lists maintained both in the United Kingdom, United States, and other countries maintained by the United States Office of Current Assets Control (USAC). This does not affect your rights or our obligations under the Data Protection Act 2018. Tenants have the right to request these searches are not undertaken; however, this will lead to Owners in Common being unable to process your application.
The Manager staff, upon receiving your application and deposit, will make an "offer of accommodation" and issue the tenancy agreement. This AST will outline in full the terms and conditions of renting a room with us, obligations of a Guarantor (if applicable), and commitments of Owners in Common as "Landlord." This AST should be thoroughly read prior to signing it online, personal details checked for accuracy, and the requested documentation submitted to staff. This will then produce a "confirmation of booking" and secure your room for the tenancy period stated.
If, for any reason, we are unable to either make you an offer of accommodation or confirm the completed booking, we will contact you as soon as possible to outline details of why the booking cannot be processed. If Owners in Common are unable to offer an alternative, the deposit will be refunded via the original method the payment was made.
Cancellation by you: 14-day cooling-off period
During the booking process and prior to receiving the "confirmation of booking" (as detailed above, this is received upon submission of supporting documents and "signing" the agreement through the portal), you may cancel at any point, and the deposit will be refunded via the original payment method it was made. Upon the "confirmation of booking" being issued by The Manager staff, the tenant retains the right to cancel within 14 days to receive the full deposit back and step away from the obligations and terms of the AST.
If you have made the booking less than 14 days before the scheduled tenancy start date and "move-in" to The Manager, then the 14-day cooling-off period ends upon move-in, and the full AST terms are accepted.
Bookings can be canceled by contacting The Manager staff via the email address displayed on the website. If the cancellation is upheld within the terms of this cancellation policy, the Owners in Common will refund your deposit within 10 calendar days of confirmation of cancellation.
If cancellation is requested outside of the 14-day cooling-off period (or upon moving in, if earlier), then you (and your Guarantor, if applicable) remain liable and required to meet all aspects of the AST, including rental.
Cancellation by Owners in Common
The Owners in Common reserve the right to cancel the booking upon notice if:

You fail to complete all steps of the booking process. This includes providing Guarantor details (if applicable), the Guarantor undertaking the outlined steps within the process, submitting supporting documentation as requested, and "signing" the AST online within the published timescale.

You provide false or misleading information.

You are prohibited from entering into an AST under the Immigration Act 2014.
If the tenancy is canceled outside of the 14-day cooling-off period, but an eligible replacement tenant is found (and confirmed as "suitable" by The Manager staff), then a refund of the deposit (upon a successful check-out inspection, if applicable) and any overpayment of rent will be made.
The Owners in Common may also agree to release you from the obligations of the AST if:

Your UK visa is denied.

Extenuating circumstances, e.g., ill health.
In these cases, proof may be requested by the Owners in Common. Upon consideration, the AST may be canceled. Upon confirmation in writing by the Landlords, any liabilities to the tenant or Guarantor are removed. However, until confirmation is received, the tenant/Guarantor must continue and undertake the responsibility of the AST, including rental.
